Personal Information Protection Policy

SST Co., Ltd. (hereinafter referred to as "the Company") conducts business activities centered on the import and sale of defense equipment, electronic devices and software, procurement and sales of sales promotion tools, import and sale of commercial laundry equipment, logistics support services, and sales of pet-related materials. We recognize that personal information acquired from individuals through our business activities and personal information of our employees (hereinafter referred to as "personal information") is important information for the Company, and that ensuring the protection of such personal information is an important social responsibility.
Therefore, the Company will handle personal information acquired through business activities in accordance with the following policy, providing "peace of mind" to individuals and fulfilling our social responsibilities regarding the protection of personal information.

1. Acquisition, Use, and Provision of Personal Information

  • We will acquire personal information by lawful and fair means.
  • We will use personal information within the scope necessary to achieve the purpose of use.
  • When providing personal information to a third party, we will obtain the individual's prior consent.
  • We will not use acquired personal information for purposes other than those intended. Furthermore, we will take measures to ensure this.
  • If the need for use beyond the original purpose arises, we will obtain renewed consent for the new purpose of use before proceeding.

2. Compliance with Laws, National Guidelines, and Other Norms (hereinafter "Laws and Regulations")

We strive to stay informed of laws and regulations related to the handling of personal information in our business, and will ensure that all employees engaged in our business (hereinafter "employees") are aware of and comply with them.

3. Safety Management of Personal Information

  • To prevent various risks such as unauthorized access to personal information, leakage, loss, or damage, we will establish and maintain a system for taking prompt corrective measures for the safe management of personal information.
  • We will conduct inspections, promptly correct any violations or accidents discovered, and implement preventive measures against weaknesses.
  • We will provide thorough safety education to our employees.

4. Complaints and Consultations

Regarding complaints and consultations concerning the handling of personal information, we have established a Personal Information Inquiry Desk and built a system capable of prompt response, and we will respond with sincerity.

5. Continuous Improvement

  • For the protection of personal information, our Personal Information Protection Management System monitors and audits the status of compliance with internal regulations, strives to discover violations, incidents, accidents, and weaknesses, and undergoes review by management. These findings are reflected in management measures and internal regulations to ensure continuous improvement of the system.
  • Improvements will comply with Laws and Regulations and JIS Q 15001.

Personnel Safety Management Measures We obtain confidentiality pledges from employees and conduct periodic education for them.
Physical Safety Management Measures We implement management of areas where personal information is handled and prevention of theft of equipment and electronic media.
Technical Safety Management Measures We have introduced systems to protect against unauthorized access from the outside.
Understanding the External Environment Personal information may be stored using cloud services.
The data center locations (regions) of such cloud services are primarily highly secure countries such as Japan, the USA, and the EU. ※1
After confirming that the cloud service provider implements appropriate access restrictions, we strive to understand the personal information protection systems in these countries and regions. ※2

Provision of Personal Information to Third Parties

The Company will not provide your personal information to third parties except as required by law.

Outsourcing of Personal Information Handling

For business operations and to provide better services, the Company may outsource part of its operations and entrust your personal information to the outsourced contractor. In such cases, we select contractors deemed to handle personal information appropriately, and through contracts, etc., we establish necessary matters for preventing the leakage of your personal information through proper management and confidentiality, ensuring appropriate supervision.

Voluntary Nature of Providing Personal Information

Providing personal information to the Company is voluntary. However, please note that if you do not provide personal information, we may not be able to provide various services.

Procedures for Requesting Disclosure, etc.

The procedures for responding to requests from the individual or their agent regarding retained personal data held by the Company—including notification of purpose of use, disclosure, correction, addition or deletion of content, suspension of use, erasure, suspension of provision to third parties, and disclosure of records of provision to third parties (hereinafter "Requests for Disclosure, etc.")—are as follows.

1. Where to Submit Requests for Disclosure, etc.

For Requests for Disclosure, etc., please submit a "Personal Information Disclosure Request Form" after contacting us (via email, FAX, mail, etc.).
If submitting by mail, please use a method that allows for delivery tracking, such as recorded delivery or simplified registered mail.
It would be appreciated if you could write "Personal Information Disclosure Request Form Enclosed" in red ink on the envelope.
If you wish to submit via email attachment, please inquire with us.

2. Documents to be Submitted for Requests for Disclosure, etc.

When making a Request for Disclosure, etc., please fill in all prescribed items on the "Personal Information Disclosure Request Form."
In principle, we will respond to disclosures of retained personal data using the method specified by the individual. Please indicate your preference on the form, such as disclosure by electromagnetic record, disclosure in writing, or other methods decided by the Company.
※If disclosure by the specified method requires a significant cost or places an undue burden on the Company, we may unavoidably provide disclosure by a method decided by the Company.

3. Identity Verification

The Company will verify the identity of the person making the Request for Disclosure, etc., via telephone. However, if verification via telephone is not possible, we may request a copy of a driver's license, certificate of residence, health insurance card, etc.

4. Requests for Disclosure, etc. by an Agent

If delegating a Request for Disclosure, etc. to an agent, please prepare the following documents in addition to the "Personal Information Disclosure Request Form."
(1) Documents to confirm the identity of the agent (copy)
One of the following: driver's license, copy of certificate of residence, or health insurance card.
※Please provide a copy with the permanent domicile (honseki) blackened out.
(2) Power of Attorney (The individual must stamp the Power of Attorney and attach a seal registration certificate for that seal. If the agent is a legal representative such as a person with parental authority, documents showing the relationship with the individual may be submitted instead of a Power of Attorney.)

5. Fees for Requests for Disclosure or Notification of Purpose of Use

When requesting disclosure of personal information or notification of the purpose of use, a fee of 500 yen (including tax) will be charged for each request.
Please pay the fee by transferring 500 yen (including tax) to our bank account.
※Bank account information will be provided during identity verification.
※Please bear the transfer fees.
Please note that if the fee is insufficient or the transfer cannot be confirmed, we will not be able to provide disclosure or notification of the purpose of use.

6. Method of Responding to Requests for Disclosure, etc.

We will respond using the delivery method specified by the requester (email, FAX, mail, etc.).
